Allocating Times

  1. Go to Classes
  2. Check Group Classes (See Below Section)
  3. Select the top rider from the list of unallocated riders. (The number in brackets indicates how many classes are currently unallocated for that rider). It is best to start with the riders who are entered in the most classes.
  4. Select the class you want to allocate first for that rider
  5. Ctrl + Click on the slot you want that rider to be allocated into
  6. Continue down the list of riders until all riders with multiple entries are allocated
  7. Allocate riders with a time request (Riders with a time request have an * after their name)
  8. Allocate riders with multiple riders on the one order (Riders with multiple riders on the one order have a # after their name).
  9. You can continue to allocate all riders manually or click Allocate Remaining Riders
  10. Click Sequence Numbers (For more details on setting up specific patterns see How to Sequence Numbers)
  11. Click Finalise Schedule

In the image below we can see that Dawn Lightbringer is allocated to the Dressage 9:54 time slot. They still have a 1 next to their name because they have a 2nd horse, Twilight's Ruin who is not allocated yet. We can also see that Persephone Black is scratched. We could therefore replace Persephone with Dawn's 2nd horse. However if we do that Dawn will be on back to back with her two horses which won't work so we might then manually adjust Ruin's times to go later after the Open Level 2.

Clashing Times

When a rider is allocated to a slot if any of their times clash then a red box will appear around those times. In that case you may want to consider reallocating them to a different slot.

The minimum time for clashes to be triggered is set under Event Details -> Scheduling -> Phase Tolerance. For Dressage I recommend setting this at 30 minutes. For other disciplines 60 minutes is ideal. Also remember if a rider has multiple horses then they need even longer between riders.

UnAllocating Times

To unallocate a rider Ctrl-Click on the rider and it will unallocate them. You can then reallocate them to a different slot.

Note: If you unallocate a scratched rider and replace them with a different rider they will intiially still have strikethrough on their name. If you refresh the page this should fix it.

Manual Slot Adjustment

Sometimes you may want a rider to ride at a certain time that does not line up with any of the slot times. To manually adjust a time click the rider and then click the time you want to adjust under the rider's listed entries. Then set a manual time for that phase and press save this will highlight that phase slot to red. Note: This time is hard set so if you go back and change the schedule you will need to come back and readjust this time

Sometimes a rider may not be riding in the same number of phases as other riders in the class. For example with a Shared Phase Horse Trials/Combined Training riders in Combined Training Only are not riding XC. By default the slots with no XC will go at the bottom of the class. You can shift these slots to the top of the class before allocating any riders to the class by selecting all of the times in that column and then pressing Shift & Down to move the times of just that column down. Note: If you have allocated riders to the level you will need to unallocate them before shifting the slot times.

Group Classes

For a Dressage Jackpot you often want riders to be in the same order for both classes (PCV & HRCAV). To do this you want to tick Group Classes and then refresh the page. This will link the time slots together for the two classes. So the rider allocated to 8am will force linked to 8:30am for their 2nd test. If you want the 2nd test to run in a different order then untick Group classes (EA & Interschool).

For SJ Jackpots classes cannot be Grouped because of the way the multiple SJ rounds works so Group classes needs to be unticked for Showjumping. Make sure to refresh the page after unticking it.

Grouping classes won't do anything for events where a combination is only entered in one class like a Horse Trials.

Note: Grouping and ungrouping classes doesn't change any rider's times it just changes the way the information is displayed. You can allocate some riders with classes grouped and then others ungrouped if you need to.

Allocating by Level

With some events it may be easier to allocate each level at a time. (Generally big events where many riders are entered in several classes and on several horses.). To do this tick the Level filter. This will then only show the unallocated riders for a chosen level. Riders who are already allocated for the level you have chosen will be in green text.
